Position description

BA Global Talent is looking for an experienced Senior Administrative Assistant to provide essential administrative support to the Senior Vice President (SVP) and other senior executives within the Office of the Chief Executive (OCE). The ideal candidate will bring a strong background in administrative support within a federal environment, with the ability to operate independently in a fast-paced setting, demonstrating excellent communication and organizational skills.

Responsibilities:

  • Agenda and Schedule Management: Coordinate the SVP’s calendar, manage high volumes of meeting requests, schedule official appointments, and ensure follow-ups.
  • Communication Management: Handle incoming and outgoing communications, including emails, calls, and mail, while prioritizing tasks to align with mission-critical objectives.
  • Document Preparation: Draft, proofread, and edit correspondence, reports, and other documents with high attention to detail and professionalism.
  • Travel Coordination: Assist with travel arrangements and voucher processing, ensuring efficient and seamless travel plans for the SVP office.
  • Data and Record Maintenance: Maintain databases, track projects and deadlines, and coordinate with other departments to ensure smooth operations.
  • Ethics Clearance Processing: Support event participation by managing internal ethics clearance for speaker engagements and widely attended gatherings (WAG).
  • Administrative Tasks: Execute various administrative functions, demonstrating sound judgment and discretion in a high-demand environment.

Qualifications

  • U.S. Citizen with the ability to obtain and maintain a Public Trust clearance.
  • Bachelor’s degree in Business Administration preferred.

  • Minimum of 10 years of administrative support experience in a federal environment.

  • Bilingual in English/Spanish or English/Portuguese skill is a plus.

  • Strong organizational, verbal, and written communication skills. Must possess excellent grammatical abilities.
