Position description

Work Location

        • Vienna, Austria

Expected Duration

      • Internships are up to 6 months with various start dates throughout 2026.
      • UNPAID and full-time (5 days/week, 40 hours).
      • Interns work under supervision of a designated staff member within the team or project for which they applied.
      • Internships can be virtual, depending on individual requirements.
      • Reasonable accommodation is available for applicants with disabilities.

Duties and Responsibilities

The Human Resources Management Service (HRMS) within the Division for Management (DM) of UNOV and UNODC offers internships across five workstreams:

      • WORKSTREAM 1 – LEARNING & DEVELOPMENT
        • Conduct independent projects including research, drafting training proposals, and preparing presentations.
        • Prepare training-related statistics and data.
        • Support preparation and delivery of workshops, including scheduling, material prep, registration management, and hosting webinars.
        • Administer the UN Language Programme in Vienna, including maintaining student records, registrations, reports, payments, and evaluations.
        • Contribute to outreach activities: training needs analyses, client satisfaction surveys, course evaluations, updating content on Client Support Portal.
        • Support marketing initiatives: design brochures, flyers, guides, and manuals.
        • Perform other duties to support the team.
      • WORKSTREAM 2 – INTERNSHIP PROGRAMME/ADMINISTRATION
        • Support the UNOV/UNODC Internship Programme, reviewing onboarding documents, preparing welcome materials, and coordinating with relevant teams.
        • Act as liaison between HRMS and internship supervisors.
        • Assist with preparation and issuance of internship agreements and completion certificates.
        • Draft and format internal communications, reports, and meeting summaries.
        • Create and maintain tracking tools (Excel sheets) for data and statistics.
        • Update and maintain internal HRMS calendar.
        • Perform administrative tasks and provide general team support.
      • WORKSTREAM 3 – COMMUNICATION
        • Contribute to HRMS monthly newsletter: draft content, collect inputs, assist with layout.
        • Support website layout and management in SharePoint.
        • Prepare and send regular email communications (reminders, updates, announcements).
        • Perform administrative tasks and general team support.
      • WORKSTREAM 4 – DIVERSITY, EQUITY & INCLUSION
        • Support development, implementation, and evaluation of initiatives in Gender Equality, Geographical Diversity, Disability Inclusion, and other diversity dimensions.
        • Create content for internal communication promoting diversity, equity, and inclusion.
        • Plan and deliver events promoting diversity and inclusion.
        • Develop and deliver training sessions (online and in-person) on diversity-related topics.
      • WORKSTREAM 5 – EMPLOYER BRANDING & OUTREACH
        • Assist in planning, organizing, and running social media campaigns.
        • Support design, execution, and evaluation of branding and recruitment campaigns.
        • Draft, edit, and proofread communications for key initiatives.
        • Create editorial, multimedia, and digital content for websites, social media, and newsletters.
        • Support development of concept plans for outreach campaigns.
        • Research issues, analyze data, and present findings.
        • Maintain documentation inventory and support record-keeping.
        • Review project reports, summarize findings and lessons.
        • Assist with visually engaging presentations containing analytical content.

Qualifications/Special Skills

      • Must meet one of the following:
        • Enrolled in or recently completed a graduate programme (second university degree or higher).
        • Enrolled in or recently completed the final year of a first university degree (minimum bachelor’s).
      • Computer literate in MS Office 365: Word, OneDrive, SharePoint, Excel, PowerPoint, Forms, etc.
      • Demonstrated interest in United Nations work and commitment to its Charter.
      • Ability to interact with individuals of different cultural backgrounds with tolerance and respect.
      • Preferred fields of study: Business Administration, Human Resources, Education, Communications, Social Sciences, Humanities.
      • No professional work experience required; academic training should benefit the UN during the internship.
      • Must cover travel, visa, accommodation, health insurance, and living expenses.

Languages

      • English: fluent (oral and written).
      • Knowledge of another UN official language is an advantage.
