The Role: Project Assistant for GEFF Türkiye programme

If you are searching for a new and exciting opportunity, this role could be for you. The selected candidate will join STANTEC for 1 year only in Istanbul, specifically involved in the Energy Efficiency and Renewable Energy financing programmes with IFIs, local and international banks and others to come. This is an exciting opportunity for a well-organised and collaborative individual, with an eye for detail, to work for an ever strong growing business for a fixed term.

The position entails providing a timely support to the whole Team and first class customer service delivery. The role holder will be both encouraged and relied upon to be a pro-active contributor of ideas and best practice suggestions. The Project Assistant for GEFF Türkiye will report to the Deputy Local Project Manager.

Key Duties and Responsibilities will include, but are not limited to:

  • manage incoming sales calls for the Project ensuring that all calls dealt with are handled with the utmost professionalism and in a timely manner

  • manage the daily/weekly/monthly agenda and maintain the project calendar

  • manage the Office Driver/admin assistant

  • make travel arrangements and manage relations with travel agency for the project members

  • maintain the registry of incoming calls and meetings

  • arrange logistics in the office for client and stakeholders visits

  • accompany the members of GEFF Türkiye staff to meetings, presentations or interviews when required

  • prepare minutes of internal meetings

  • provide support to STANTEC Administrative Department for GEFF Türkiye related administrative activities

  • provide support to the Management, Finance, Marketing and Engineering Team of GEFF Türkiye to manage all related databases

  • provide support to the Marketing Team to manage GEFF Türkiye news on social media (twitter, facebook etc.)

  • provide support to GEFF Türkiye events marketing activities (sourcing contacts, organizing meetings, confirming attendance, following up on pending information, etc.) as required

  • provide support to GEFF Türkiye Marketing Team to – keep the website updated

  • provide support in the production of information or communication materials (reports, presentations, etc.)

  • provide support to the Team for Quality&Assurance – activities

  • provide support to the Management Team for collecting, checking and controlling time-sheets

  • provide support to the Team for occasional translations from English to Turkish (and vice-versa)

  • provide occasional logistical support (delivering documents, etc.)

  • demonstrate a positive outlook, an attention to detail and a professional manner in all matters.

  • Completion of assigned tasks within the required timeframe

  • 360º degree performance feedback from team colleagues and supervisors

Project Assistant for GEFF Türkiye programme



  • Relevant University Degree (preferred)

  • Relevant experience is a plus though not required to be successful

  • Fluency in Turkish and a high level of English: Verbal and Written

  • Proficiency in MS Office, particularly in PowerPoint, Word and Excel

  • First rate communication skills, both with clients and fellow colleagues

  • Drive to meet and exceed deadlines with an ability to work independently and with integrity
